It's appropriate that this is the month for LOVE, as we'll all need to show a lot of love to each other as we take our journey through the Clubhouse renovation. As I write this, we've just begun. But I know by early February, work will be well under way, and hopefully no unpleasant surprises! Staff is doing the best they can to accommodate your room requests, but obviously some flexibility is in order. Just put on your patience hat and keep smiling! So, last month I wasn't able to give a recap of recent executive actions due to the early copy deadline for the newsletter. I did recap them at the Dec. 17 open meeting, and you can review the minutes on our website for the details. And by the way, at the December meeting the Board did decide to move our Board meeting dates, one week earlier, in order to accommodate the publication deadline. So, from February on, our Open meetings will be held on the SECOND Thursday of the month, with the Executive sessions happening on the Monday prior to that date. So, let's recap the actions taken since last month. On Mon., Jan. 13, the Board met in Executive Session and discussed Member disciplinary actions, third party contracts, delinquency reports, personnel matters, legal matters, executive committee reports, and approval of minutes of prior Executive sessions. Actions taken at the meeting included: Approval of a renewal of the contract with Building Resource Management for janitorial services, for a monthly cost of $7,410, not including supplies. Contract term is Jan. 1 through Dec. 31, 2020. And in case you were wondering, we are in discussion with the provider to review janitorial needs during the clubhouse renovation. If there is a change in needed service, the cost will be adjusted accordingly for the duration of the project. Acceptance of the recommendation from the Golf Course Irrigation Committee to award the golf course upgrade contract to Morgan Golf Design. The scope of the project includes well water conversion as well as overall golf course upgrades, including irrigation, and the cost is estimated at $2,193,455.50. There is an additional proposal to perform turf reduction in some areas of the golf course, which is optional, and would cost an estimated $545,567.50. Morgan Golf Design is a well-respected golf course design firm, and they have worked extensively in Southern California. The project will be funded partly from Reserves and partly from Capital Improvements. The Budget process is under way, and we will be presenting our proposals in February when we meet to approve the budget for next year. The good news is, we have been setting aside reserve funds for this project for the last several years, and we believe we have adequate funding. This step will allow us to move forward on the specifics of the project, with detailed design, permit requests, and contract negotiations. The Board appointed an ad hoc Contract Committee to work on contract formation, and they will review final contract language with the Board for approval. The Committee consists of Don Lopez, Greg Kusiak, and Bob Fisher. One very important next step is to inform the Community of the plans and this will be done in the coming months via town halls and articles in our newsletter. Stay tuned! The Board was advised of three change orders approved for the Clubhouse renovation project. The change orders were approved by the Clubhouse Renovations Executive Committee, Don Lopez, Jerry Gorman, and me. They were, to furnish and install additional cabinets in the reservations office, for an amount of $1,800, to furnish and install a solid surface countertop in the bar area, in the amount of $3,150, and to furnish and install a surround for the new water wall feature, and to install the actual unit, for an amount of $4,080. These items were not in the original specifications and are valid change orders. None of the change orders will require added time for the project. At the January Open session, we will be announcing the names of newly appointed Standing Committee members.
