| OHCC LIVING | MARCH 2020 | 3 President's Message By Angela Takemato Well, here we are in March — a quarter of the year already! Here's my recap of the actions taken since last month: On Feb. 6, we held a special open meeting to review and approve the budget for the next fiscal year. Greg Kusiak's report in this newsletter will give you a more detailed review, but I'll pass on the good news: there is no increase in assessments for the Master Association! On Feb. 11, the Board met in Executive session and discussed Member disciplinary actions, third party contracts, personnel matters, legal matters, executive committee reports, and approval of minutes of prior Executive sessions. Actions taken at the meeting included: Approval of a proposal from N&H Locksmith for crash bars for the new front doors, including installation. These are the levers required by code, that enable the doors to be opened in case the automatic door opening mechanism fails. The levers will be black, to coordinate with the new glass and iron doors. This is in an amount not to exceed $10,819, funded from reserves. Approval of the renewal of our contract with Keystone Pacific Property Management for one year, effective June 1, 2020. The renewal includes an increase in management fee of 3 percent, for a monthly fee of $27,053. This amount is included in the 2021 budget, just approved. Approval of a proposal from Pekarek Architects to work with the Lanai Committee to develop designs and renderings for the new Lanai and golf casa structure, as visual aids in future town hall presentations. This is in an amount not to exceed $4,500, funded from reserves. Approval of a proposal from the IT department at Keystone to provide website services, to replace the current OHCC website. Keystone will provide conversion support in creating the new website, and then transition to hosting support. The proposal is in an amount not to exceed $33,000, with an annual hosting fee of $1,020 after the site goes live. This is funded from operations. We will ask the Marketing and Communications Committee to work with Keystone in designing and populating the new web pages. Approval of a new agreement between OHCC and Securitas, at an annual cost of $812,713.68, beginning April 1, 2020, funded from Operations. This contract amount is incorporated into the recently approved budget. The agreement is approved pending a final review of the Post Orders, which are part of the agreement. Once this document is finalized, the agreement will be signed. Approval of a proposal from Van Dyke Landscape Architects to provide consulting services on an as- needed basis, for unanticipated landscape related tasks, at a cost not to exceed $5,000, to be funded from Operations. Approval of a proposal from Engineering firm Martin and Libby to provide structural engineering services. The firm will prepare construction documents for a shotcrete and soil nail wall in front of the existing crib wall at Delos Way. This is in an amount not to exceed $8,000, funded from reserves. Approval of a new temporary contract with Building Resource Management for janitorial services, for a monthly cost of $6,350 not including supplies. This contract runs from Jan. 1 through May 31, after which the original contract comes back in force. This new contract is a result of a review by the contractor of the needed services during the Clubhouse renovation project. So, a busy month!
