Directors Present: President Walt Bowman, Vice President Joanne Deacon, Secretary Amy Horlock, Treasurer Glenn Sailer, Director Tom Brackin, Director Del Mitchum, Director Mary Ann Plummer Absent: None Others Present: General Manager Jim Morgan, Office Manager/Adm. Assistant Kimberly Evans MEMBER COMMENTS: President Bowman announced that members will be able to Zoom into Board meetings to make their comments at the April 15 meeting. The Board will return to its original format of hearing owner comments or questions at the meeting. Responses will be sent directly to the member. Members who do not use Zoom can submit written comments. PRESIDENT'S REPORT: • Special Thank You: Thanked Activities Director Kara Hardy for bringing a COVID vaccination clinic to the community. Over 600+ individuals were vaccinated. • Acknowledging Associa Employees: Encouraged members to acknowledge employees who have provided great customer service by clicking on the link at the end of their emails or sending a note to their supervisor. These employees receive a $5 gift card from Associa. • Error Found: Thanks to General Manager Jim Morgan, who found and corrected a $4,000 error. • TownSq Statement Computer Error: Many homeowners received TownSq statements indicating they were delinquent in their assessments. Please DISREGARD the statements as this was a computer-generated error. • Proposed Pool Pavilion: President Walt Bowman announced to the membership about the proposed Pool Pavilion and the many potential activities that can take place in the new space. Ballots will be mailed out by May 1, 2021 for a vote of the membership to authorize the Board to proceed with construction of the building. Executive Session: • Approved Feb. 21, 2021 Executive Board minutes. • Discussed the Majestic Asset Management litigation update. • Majestic went into the March 10, 2021 hearing to request the dismissal of the receivership. The court did not uphold this request. • Discussed various legal matters and contracts with legal. • Reviewed violation hearing appeal. BOARD LIAISON REPORTS Vice President Deacon – Management sent several eBlasts noticing the reopening of the Fitness Center, Auditorium for fitness only and Library. Please reference the eBlasts or contact the HOA office for more details. Secretary Horlock – Social Committee: The committee, together with Kara Hardy, is planning a reopening gala once State guidelines allow. Director Mitchum – Communications Committee: Committee has installed editing software called Creative Cloud as well as miscellaneous hardware for the Outreach to History project. This will allow them to research the origins and history of The Colony. They are also working on a digital census to help determine what method of communication works best for the community. Rules and Regulations Committee: The proposed rule for PODS was approved for 30-day member comment at the Feb. 18, 2021 Board meeting, but the proposed dumpster rule was sent back to the committee for further clarification. They are continuing to discuss and review accessory dwelling units and junior accessory dwelling units rules for the community. Treasurer Sailer – Finance Advisory Committee: Reviews association financials monthly. Currently reviewing numbers for the proposed Pool Pavilion. Landscape Advisory Committee: Meets monthly to address landscape projects. Violations Committee: Meets the fourth Tuesday of each month. Residents are receiving citations for running stop signs, tailgating and not adhering to bicycle rules. Majestic Asset Management Litigation: President Walt Bowman read an update on the Majestic Asset Management Litigation (see page 7). CONSENT AGENDA: President Bowman presented the following items for Board approval: 1. Approval of February 18, 2021 General Board minutes 2. Monthly review of financials for January 2021 3. Board authorization of transfers and expenditures over $10,000 for March 2021 4. Approval of David Bebee, new member of the Landscape Advisory Committee 5. Approval of new Finance Advisory Committee member Bob Miller Approved. Finance Advisory Committee: Interviewed three candidates and approved Bob Miller as a new member. TREASURER'S REPORT: Chuck Gordon presented the January 2021 Unaudited Interim Financial Statements prepared by Associa. Approved.
