8 | THE COLONY NEWS | MAY 2022 | HOA NEWS BOARD OF DIRECTORS MEETING HIGHLIGHTS: MARCH 17, 2022 Appeal of Architectural Control Committee Denial to Paint Street-Facing Fence: Homeowner Andy Lee is appealing the decision denying his application to paint his street-facing fence. Mr. Lee contends that the existing paint color is gray, which is similar to that in the Association's approved paint color schemes. Chairperson Gloria Brosky stated that Mr. Lee painted his home #7A, which is an approved paint color, but later selected #3B, from a different paint color collection to paint his fence, which is not allowed. It must be in the same color collection according to the guidelines. The original color is no longer an approved color. Tabled the matter for further research. Appeal of Architectural Control Committee Denial to Allow Hanging Lattice: Homeowner Ramon Salcido Jr. appealed the decision denying his application to hang a lattice structure from a beam at the entryway of his home. Chairperson Gloria Brosky informed the Board that according to the Architectural Standards, lattice must be attached to the home and not hung from a beam. Mr. Salcido asked if his lattice can be grandfathered in, since it has been hanging at his entryway for several years. Tabled the matter for further research. Approval of Lien, Account #00239-7245: Approved filing a lien against Account #00239-7245 due to delinquent assessment in excess of $1,800 and/or 12 months delinquent. Resignation of Chairperson Jane Payne, Landscape Advisory Committee: Accepted resignation and thanked her for all her hard work and dedication. Resignation of Toni Shaw, Landscape Advisory Committee: Accepted resignation and thanked her for her service and dedication. Resignation of Robert Proctor, Emergency Preparedness Committee: Accepted the resignation. As member of the EPC for several years and former Board President, his volunteer work and dedication are greatly appreciated. He and his wife, Barbara, will be moving out of the community by the end of the month. Nordic Security Contract Renewal: Renewed contract for one year beginning May 1, 2022, and ending April 30, 2023, at a total monthly cost of $50,850 ($634,200 annually). As an addendum to the contract, the Board approved the Nordic iGate VMS and ACS system at no additional cost, to replace the current CapSure System. Approval of Staff Computer Replacements and Board Laptops: Approved replacement of 11 workstation computers and four laptops for staff, seven touch screen laptops for the Board and a new server for the office. The total cost of the Dell equipment is $50,358 and includes free Microsoft software at a total cost not to exceed $51,000. Deletions & Amendments to Gazebos, Arbors, Trellis Panels & Lattice Rules, 30-Day Member Comment: The Architectural Control Committee made deletions and amendments to the existing Gazebos, Arbors, Trellis Panels and Lattice rules. Approved rules for 30-Day Member Comment. Members can reference the proposed rule amendments on pages 10-11 of The Colony News. Amendments to Article 17 "Painting Procedures" and Deletion of Sections 17.6, 17.6.1, 17.6.2, 30-Day Member Comment: The Architectural Control Committee made revisions to Article 17 "Painting Procedures" and deleted sections 17.6, 17.6.1, 17.6.2 from the Architectural Standards. Approved the rules for 30-Day Member Comments. Members can reference the proposed rule amendments and deletions on page 11 of The Colony News. Auditorium and Lounge Projectors: Current auditorium and lounge projectors utilize bulb-based projection that has been phased out of commercial equipment. Laser-based projection offers longer lasting brightness, lower maintenance and improved color and contrast. Approved replacement of existing projectors with Sound Image Digital Projectors at a cost of $46,372. Auditorium Hearing Assist: The current Anchor Audio Hearing Assist System used by hearing-impaired members operates on a wireless frequency band, which is no longer authorized for private use and has interfered with a local cell phone provider tower. Approved Sound Image proposal to purchase the Listen Technologies Hearing Assist System at a cost not to exceed $3,305.42. Yelp! Reviews: The Communications Committee noticed that The Colony has Yelp! reviews, but there is no one actively monitoring the site. They would like to take on this responsibility. Tabled the matter to the April Executive Session for further discussion. Approval of 2022 Annual Election Dates: Management presented the 2022 Annual Election dates for Board review. Approved schedule as submitted. Purchase of 12 Additional Radios: The Emergency Preparedness Committee needs additional radios to distribute to field personnel such as the Search and Rescue teams and nurses in case an emergency arises in the community. Approved Eagle Communications proposal to purchase 12 Hytera TC-508 UHF Radios with high-capacity batteries, belt clips, antennas, desktop chargers, programming and 3-year extended warranty at a total cost of $3,364.25.
