Proposed Estate Sale Rules: At the Nov. 16, 2023, meeting the Board tabled ruling on the proposed estate sales rules to allow for further review. Management is now presenting the proposed rules for reconsideration. Directed Management to work with the Access Control & Safety Committee and the Rules and Regulations Committee to create a protocol for sending vendors and guests to the Nutmeg gate during personal item sales. They are to review the proposed rules and incorporate payment for an extra guard to provide access control at the Nutmeg gate. Video Switcher, Communications and Technology Advisory Committee (CATCOM): CATCOM submitted a request to replace the video switcher used to record and change camera views. Tabled the matter to the February meeting to allow General Manager and Consultant Jake Henricksen to discuss video switcher project phase #1 and bring figures and timeline for phase #2. Followspot, Communications and Technology Advisory Committee (CATCOM): CATCOM submitted a request to purchase a followspot to replace the mounted spot in the Auditorium. The existing spotlight is the original equipment and does not provide a bright enough spot for the new theatrical lighting. Approved purchase of one Altman AFS-500 at a cost not to exceed $4,500, including tax and shipping. Pool Temperature: Directed Management to research the cost savings of reducing pool heater temperature from 82, 80 and 78 degrees during the months of November to March. Main Gate Signage: Directed Management to create a sign to place at the Main Gate instructing guests/vendors to be prepared to have the name and address of the resident they are visiting prior to approaching the guard shack. Redirect Residents to Nutmeg Gate and iGate System Training, Access Control & Safety Committee: Directed Access Control & Safety Committee, UniversalAllied and Management to implement a training program for residents on the iGate software (i.e., access control system). A town hall and workshop should be scheduled, along with a video of instruction, uploaded to The Colony website. Chairman Glenn Gerber will make recommendations and submit for Board review and consideration. Tennis Courts LED Lighting Retrofit: The Colony Racquet Club has requested the conversion of the existing tennis court lamps to LED. The Keystone LED (KT-LED110PSHID-H-EX39- 8CSB-D) was recommended by our lighting contractor, So. Cal. West Coast Electric, for its ease of installation, price point, horizontal HID power and adjustability of color selection. The Colony at California Oaks HOA will purchase 12 lighting fixtures and SCWCE will provide labor.
