| OHCC LIVING | OCTOBER 2024 | 5 I have been serving as your General Manager at Ocean Hills Country Club for over two years now. I have been invited to add a report to the OHCC Living magazine monthly. I thought a good start would be to give an update on all the system, technical and IT changes and upgrades the Board of Directors, myself and my team, and Keystone IT experts have been working on and accomplished, over the last year and a half. Where We Started 18 Months Ago • Slow internet connection at the Clubhouse and HOA office. • Outdated Wi-Fi at the HOA Office, Club House and Maintenance Building. • IDF closets full of old wires and equipment no longer in use. • Network wiring broken in various locations. • 15+ year old phone system with high recurring monthly cost from Cox phone services. • Bulk cable agreement up for renewal. • Absence of security cameras in the HOA office, Clubhouse and Maintenance Building. • Outdated alarm system • Outdated visitor management software at the security gates. • Desktops are past end of life or approaching. • Server for files reached end of life. • Outdated security office equipment. • Outdated emergency phone system, with phones throughout the community. • Escalating service bills from AT&T for services no longer required. • EventPro software database issues causing the program to be unstable. Temporarily fixed with updated Microsoft SQL software. • OHCC website, outdated and not a true reflection of the OHCC brand. What Has Been Accomplished • New consolidation internet contracts and the switch to symmetrical fiber, faster speeds at the same rate as the slower former connections, all accomplished with renegotiated contracts. • Updated Wi-Fi at the Clubhouse, HOA Office and Maintenance Building, making modifications when required. • IDF closet in the HOA office rebuilt with new rack and old equipment removed. • All new network Cat6 wiring installed through the HOA office, removing damaged and old wiring. • New IDF rack in the Clubhouse and removal of old equipment. • New Ring Central phone system, allowing for mobility when required and an updated auto attendant with better call routing. Making changes when required or requested based on operational needs. • Bulk cable agreement renegotiated, lowering the cost and adding more features. We had a few billing issues on the resident side, however, a few well-placed phone calls and a meeting with Cox resolved that. • Server files moved to new cloud hosting Egnyte, including Laserfiche files converted to PDFs, and moved to new hosting. Laserfiche service canceled. • The outdated emergency phone system (formally known as the red phones) was removed and the phone service with AT&T canceled, removing a monthly $1,800 bill. • Eliminating costs from AT&T and Cox services; consolidated services and canceled unnecessary phone lines and redundant services (saving quite a bit of $$$ and redirecting the spend to new items). • The addition of Sentinel One was added to all computers to monitor and prevent intrusions and monitor computer health. • New fiber ran from the Clubhouse to the Golf Casa after the original lines were damaged during construction of the Lanai. The new fiber was installed at no cost to the association. • Worked with the Board and Gloria on removing the now retired SIS system. What Is Currently In Process • Currently working to identify new security vendor and solution for the HOA office, Clubhouse and Maintenance building. RFP sent to prospective vendors who will visit OHCC, meeting with perspective vendors to make recommendations and design a new security footprint. Also, a vendor who leverages AI technology and not the same solution has no benefit for the onsite team (outdated alarm system is part of the new security scope). • New visitor management software for the security gates, being upgraded to a new platform (working with Garrett as this ties into the overall refresh of the equipment at the front main and back security gates. This includes complete upgrade and cleanup of old wiring, removal of retired equipment and the creation of new infrastructure with new computers and monitoring stations, creating a command center of efficiency. • Addition of Wi-Fi at the front main and back gate, internet upgraded. Computer refresh at the HOA office, Clubhouse. • Server in the HOA office being decommissioned. • EventPro software transition to Cinc reservations, kickoff meeting with the team on Aug. 29. • Event Pro server being decommissioned. • SDWAN implementation resuming after being on hold due to my dissatisfaction with prior implementation plan. New project engineer assigned, and we are back on track • The Board, Gloria and the fiber advisory group to field out proposals presented by 3rd party independent fiber internet providers.
