November Report on Executive Session Action (non-confidential) - Meetings on Nov. 5 and 19. At these meetings litigation, member discipline, formation of contracts, and personnel matters were discussed. The following are action items the Board took at these meetings: After careful review, the Board renewed the agreement with Associa-PCM for an additional three years. The Board received a refund request for two annual golf memberships. The Board voted to deny the refund request because it did not meet the annual golf refund policy. The Board received three proposals for the rehabilitation of the fairway bunkers on the Championship Course and all bunkers on the Executive Course. The Board reviewed the proposals and selected the low bidder, Assurance Golf Construction, for a total of $302,792.86 which includes a 5 percent contingency. This project will be coming from reserves. There is $331,810.00 allocated for the project, so it is coming in approximately 29,000 under budget. The project will be starting sometime in January (weather permitting) and could take up to six months to finish. The contractor will only be closing two holes at a time to keep the inconvenience to a minimum for golfers. The Board held a member show cause hearing for a discipline matter. After reviewing the situation, the Board suspended the member privileges for 30 days. The Board held nine member show cause hearings in regards to delinquent assessments. After reviewing each matter, the Board suspended privileges for 30 days on six of the accounts, tabled two hearings due to recent payments on the account, and granted a 30 day extension on one account to allow them time to bring the account current. The Board reviewed five proposals for a solar project at Sun Lakes Country Club, as well as the written ballot that would be sent to homeowners to vote on the solar project. No vendor was selected; however the Board approved the written ballot and election to be held on Dec. 18. The Board awarded the Inspector of Elections contract to the Ballot Box Company for the 2016 Annual Meeting. The Board ratified the emergency repair work on a damaged street light on Birdie Dr. The Board discussed the Consultant Report on Food & Beverage Operation The Board reviewed proposals for the renewal of 2016 insurance policy. The Board selected LaBarre and Oksnee as their 2016 insurance provider. The Board reviewed proposals for possible repair work to the front entry of the Administration Office. The Board review correspondence from the City of Banning concerning water meters.
