| SUN LAKES LIFESTYLES | JUNE 2016 | 3 By Doug Swenson FROM THE PRESIDENT'S DESK Over the years the Master Board at Sun Lakes Country Club has authorized the formation of several committees. Each one was formed with a specific charter to have a committee of volunteers address a certain function to assist the Board in managing Sun Lakes. There has been a lot of misinformation spread across the membership in regards to these functions as well as their effectiveness. I have decided to dedicate this letter to clarify this issue. First of all, there are 12 committees which consist of 5 to 11 volunteers, the number varies from committee to committee. Their names and basic functions are as follows: Bingo Advisory Committee: Committee members should be available every Tuesday for weekly Bingo. Possible responsibilities may include selling cards, putting together payouts for games, ordering supplies, maintaining equipment, organize callers and maintaining accounting records. Finance Advisory Committee: Makes recommendations to the Board of Directors on issues pertaining to the Association's financial matters. Golf Advisory Committee: Reviews information pertaining to golf operations. Interfaces with golf course management to provide advisory recommendations relating to future golf operations. Library Advisory Committee: Advises and makes recommendations to the Association for improvement and development of the Sun Lakes libraries. Lifestyles Advisory Committee: Edits, proofs and publishes a monthly Lifestyles magazine, the official publication of the HOA. Maintenance & Landscape Advisory Committee: Works with the maintenance manager and the Association to make recommendations to the Board on matters pertaining to maintenance, landscape and janitorial services for the facilities. Marketing Advisory Committee: Assists the Board in providing public relations and marketing designs to improve our image internally and externally and to create a distinctly appealing identity that promotes Sun Lakes Country Club as a desirable private community. Master Architectural Committee: Reviews architectural and landscape home improvement plan submittals. Develops and enforces Architectural Guidelines to preserve aesthetics of the community. Recreation Advisory Committee: Works with the recreation director to review, develop and assist in planning events and making recommendations for future social activities which meet the needs and interests of the majority of the community. Helps develop procedures as they relate to recreation activities. Recreational Vehicle Storage Area Advisory Committee: Makes recommendations to the Board of Directors on matters pertaining to the operation and use of the Association's storage facility. Restaurant and Lounge Advisory Committee: Works with the Food & Beverage manager and the Association to evaluate, recommend and assist on matters pertaining to the restaurant and/or lounge operations. Safety & Security Advisory Committee: Advises and makes recommendations on matters pertaining to community safety. As you can see, the functions of these committees are far reaching and cover all aspects of the operation of Sun Lakes Country Club. Each of the committees is required to meet on a regular basis and provide feedback to the Board on their activities. This feedback is in the form of minutes of the meeting which the Board receives and it is posted on the Sun Lakes web site. One member of the Board is assigned as liaison to each committee to keep them apprised of what Board activities are going on. All committee meetings are open to the residents and we encourage you to attend those that you might have some interest in, to observe their operation. The Board meets annually with all the committees to discuss how best we as a Board can assist them in their efforts and they can better assist us. We encourage the committees to work with each other on activities that may reach across multiple committees charters so they are aware of what each other is doing and how they can best accomplish the function without duplicating efforts. The committees perform a very important function within Sun Lakes utilizing the talents of a vast number of volunteers. Since the committees are made up of residents of Sun Lakes who have shown an interest in helping make this a better place to live, we as the Board, are looking to them and other volunteers to assist us in strategically planning where we go in the future. The Board is only five people who are tasked with maintaining and improving Sun Lakes Country Club and without the committees assistance, we would not be able to accomplish this without working full time which we all know is generally not the plan when one retires.
