What are plans A, B, and C relating to the golf course situation? A: This litigation has been going on for approximately eight years now. Typically, disclosure of litigation occurs between buyer and seller during the escrow process. However, we will be sending you a copy of the most recent status update that was published to the members in a recent Colony News magazine. Also, the Board anticipates publishing another update in the near future. With regard to your specific questions, the Association is still involved in litigation with the golf course owners; therefore, we are unable to respond to these questions at this time. Q: I suggested that the Board create a small group to explore ways to present Colony financial data so the information could be studied comparatively with the previous year and budget. What progress has been made by the committee toward improving the financial reporting as I suggested? A: The Colony is preparing to enter into its budget season for the 2021-22 fiscal year. As the Finance Advisory Committee prepares to present its proposed budget for Board consideration, your suggestions on how the budget will be presented to the members will be taken into consideration by the Committee. In February each year at the Budget Workshop and the Town Hall meeting, the figures that you are requesting have been made available to the entire membership. Q: I would like to request the Board to consider "opening" up the Clubhouse the next time we have a massive heatwave. Will the Board open the Clubhouse during the next heatwave? Now that the showers have been opened in the locker rooms, why do the lockers remain hidden behind the netting and unusable? A: The Clubhouse will open as soon as the State and County allow the Association to do so. Unfortunately, the "no gathering" order is still in effect. We are as anxious as you are to make the amenities available to all of our residents. For future reference, in addition to our Clubhouse, the City designates various buildings throughout the City as cooling centers. The Association will review any updated orders from the State and County to see if it is appropriate to open the lockers. In the meantime, if a resident has items stored in the lockers, please contact Ken Knapp, Maintenance Manager, to retrieve your property. Q: I'd like the Board to clarify how violent incidents like the pool assault and battery two weeks ago are to be handled – 911 or Colony Security? What directive does Associa-PCM give them, recognizing that our security guards can respond more quickly if a resident is endangered as they are on premises, but they are not trained for violence prevention. A: In the event of any emergency, including acts of violence, call 911. Then call Community Patrol. The Association's gate attendant and Community Patrol Services contractor is responsible for observing and reporting incidents that take place on common area. If needed, the proper emergency services are contacted. Q: Will the Board consider allowing one adult guest per resident for more equitable policing of the temporary "No Guest" policy? A: The Association attempts to enforce the temporary "No Guest" policy against any guests, regardless of age. If you are aware of any violations of this policy, we encourage you to report it to Management. At this time, the Board does not have any current plans to allow guests. The Association continues to monitor State and County government orders related to the use of the common facilities. The Board believes that its temporary "No Guest" policy has assisted in the low number of coronavirus cases in The Colony. Q: Why spend money to tear down and build a new room at the BBQ area? There seems to be more than enough meeting rooms. We want that shaded area for gatherings. A: The Board is still reviewing options as it relates to this project. Any options being considered include an outdoor shaded area for gatherings. As the Board further investigates options related to the feasibility of this project, more information will be made available to the membership. PRESIDENT'S REPORT: President Walt Bowman updated the membership on the following current events: Annual Meeting and Election of Directors – October 8, 2020: President Walt Bowman encouraged homeowners to get their ballots in so that the Association can make quorum. If you have not received your ballot, please contact the HOA Office immediately. Locker Room Showers are Reopened: During the September 4, 2020 Special Executive meeting, the Board approved reopening the Men's and Women's Locker Room Showers. Honoring of First Responders: Essential workers such as police, fire, nurses and grocery store clerks deserve a thank you! From Oct. 12 to 18, residents are invited to decorate their front yards in appreciation of these brave men and women. On Saturday, Oct. 17, the Social Committee will tour the community and vote on the most spirited entry. The winner of the contest will be awarded a $50 gift card. Front Yard Trees: The current Landscape maintenance Standards and Guidelines require each lot in the community to have a front yard tree. [see Guidelines, article 23.2.4b] Today, during Executive Session, the Board identified certain criteria as to why a person is "not required" to have a front yard tree.
