Management requests extending the lease for 12 months to allow adequate time to obtain bids, perform a thorough evaluation of the equipment, obtain competitive pricing, and present for Board approval. Approved. Video Security System Camera License Upgrade: The video security system camera, which allows the Association to view real time video, store, playback and save video clips of incidents/violations, will no longer support any software versions below Version 7. It was recommended that customers update their existing video systems as soon as possible, which also includes licensing. Approved the purchase of 14 video security system camera license upgrades as proposed by InterAccess System at a cost not to exceed $3,297.52. Clubhouse Auditorium Chair Replacement: The black and silver Auditorium chairs were originally purchased in 2003 and reupholstered in 2010-11. They have served their useful life and are due for replacement. Approved the Restaurant Furniture 4 Less proposal to purchase 300 Hercules Series Crown Back stacking banquet chairs in Black Vinyl and Silver Vein Frame at a total cost of $10,800.26. Purchase of Vehicle Transponders: Out of 1,100 vehicle transponders that were purchased in February 2020, only 70 are left in inventory. The HOA is issuing an average of 45 vehicle transponders per month. Approved the purchase of 800 windshield transponders and 200 headlamp transponders from InterAccess Systems for a total cost of $14,382.70. Replacement of 5 Remaining Transponder Readers: Management has been experiencing intermittent failures at the community gates with the remaining 5 transponder readers. Approved replacing the 5 transponder readers with the Star Systems Procyon RFID readers and raising the readers to the 7 foot height as recommended by the manufacturer at a total cost of $29,282.80. The Dumbell Man, Preventative Maintenance Agreement Renewal: Approved the renewal to maintain the Fitness Center equipment at the quarterly rate of $175 for a term of 1 year. Social Committee Mardi Gras Contracts: Approved contracts for Thomas Catering and The American Made Band for the Feb. 26, 2022 Mardi Gras-themed party. Electric Pedestal Replacement: Several electric pedestals are in need of replacement in the community as they have deteriorated over the years. Approved HB Electric Inc. to replace 9 electric pedestals at a cost not to exceed $40,523. Emergency Electrical Pedestal Replacement: Electrical Pedestal #41 failed and needed to be replaced immediately. Approved HB Electric Inc. to replace the pedestal at a cost not to exceed $4,620. Pool Heater #2 Replacement: 1StopPool Pros technician observed water leaking from pool heater #2. There was a cracked exchange and the burners and ignition switch were showing wear.
