By Tracie Rodgers Hello March! Wow, February felt uncommonly long. Room-use management needs have picked up as new clubs and residents are wanting to gather in The Lodge. Some days things run perfectly; other days, meeting all the needs runs a bit short. On occasion, schedules are changed to accommodate requests from other residents, committees and clubs. I understand it is frustrating to experience change. I do try to balance the needs with respect to all. The information below is provided to inform you on Club Policy. This information is used to make decisions on room use. Please review it and be informed. On many occasions the room is shared or schedules run back to back. Please remember to be courteous to each other at all times. Kindness is king! Operating a Club: • Each Club is to have a Leader who is responsible for: a. The operation of the Club b. Maintaining a membership list c. Recording and managing money received from Club members or activities. The Association assumes no responsibility for the handling of Club funds. • All Clubs must be self-supporting • Clubs are responsible for their own expendable supplies and consumables • Club members are responsible for cleaning up after their meeting or activity • The decision to charge membership fees or dues rests solely with the Club • The Club must adhere to federal, state and local laws • The selling of any product or service requires Board approval • The Club may submit an article for the newsletter each month. It should be no more than 250 words and submitted to the activities director by the 8th of each month. • If a Club fails to meet on three consecutive regularly-scheduled dates or the membership attendance consistently falls below the minimum number of members (7), the Leader must inform the activities director to discuss the viability of the Club. • Changes in Club times and venues must be approved by the Activities Director. • Due to Association insurance and liability issues, ALL Club Leaders must submit to the activities director a list of all members; as well as any persons who may be setting up a meeting or Club event. • Guests of residents may be allowed to attend a class or activity at the discretion of the club leader and availability of space. • At any time, due to Association business, the Board of Directors reserves the right to pre-empt a Club's space. The Activities Director will notify the Club as soon as possible if preemption is to occur. • At any time, due to a death in the community, Club space and time may be preempted for use for a celebration of life event. The Activities Director will notify the club leader, as soon as possible, if this should occur. The club leader will be responsible for notifying club members of the change in schedule. • The order of priority for room reservations is: 1. Board of Directors 2. Booked Private Events 3. Celebration of Life events 4. Committee Meetings 5.
